How much does a 42-person move cost? We break down the budget
A company move is not just transporting desks from point A to point B. It is an operation on a living organism that can burn through a budget faster than you think if you don't count every meter and every hour of the transport crew's work. At Mondiairelay-suivi, we checked the invoices from our last 47 moves to show you in black and white where your money will go for a team of 42 people.
Logistics and transport in Krakow realities
Let's start with the basics, which is the physical movement of stuff. With 42 employees, you have about 187 standard boxes of documents, electronics, and personal items to pack. On top of that are desks, chairs, and safes if you run accounting or a law firm. Renting a professional moving company in Krakow, which provides two large cars and four porters, costs around 4350 PLN net for one day of intensive work. This is the price for transport and carrying alone, assuming everything is already packed and ready to go.
If you think the employees will pack themselves on Friday afternoon, you are mistaken. Packing 42 stations takes an average of 6 hours, which at their hourly rates generates a hidden loss of around 3200 PLN in non-worked time. It's better to order a team that arrives with their own boxes and bubble wrap. Such a 'full service' will bump up the invoice by an additional 2150 PLN, but you are sure that monitors won't arrive with cracked matrices. Also, remember the parking specifics on Pawia Street or in Kazimierz – often you have to buy a permit to occupy the traffic lane, which costs about 145 PLN a day.
We'll give it to you straight: transport is the least of your financial problems. The real difficulties begin when you try to squeeze furniture from a modern office building into an old townhouse with narrow doors. It happened to us that a sofa for 8000 PLN had to be disassembled to the smallest parts by a carpenter because it wouldn't fit in the elevator on Lubicz Street. Such fun is another 400 PLN for labor. Always measure door frames before you sign the acceptance protocol for new keys. The office must earn money, not stand blocked by furniture in the corridor.
Transport is not just a truck. It is 187 boxes and hundreds of man-hours that someone must reliably pay for.

Equipment and new workstations
Hardly any company moves 99.9% of old furniture. Usually, during a move, it turns out that half the chairs have worn upholstery and desks don't fit the new wall layout. If you have to buy 12 new workstations for part of the team, prepare for specific expenses. A solid desk with height adjustment costs 1240 PLN apiece. On top of that, an ergonomic chair – don't save here, because an employee's aching back means a 23% drop in efficiency. A good chair is an expense of around 980 PLN. In total, you will spend around 26,640 PLN net on equipping 12 people.
Old walls, new rules – in historic buildings, built-in wardrobes are often missing. You then have to invest in free-standing document shelves. For 42 people, you need at least 8 solid cabinets, which will close at 5600 PLN. Then there is the social zone. A new coffee machine that can withstand 42 thirsty employees costs about 3400 PLN. Don't buy home models because they will die after two months of grinding beans. These are real costs that are often forgotten in the first round of budget planning.
Don't forget about lighting. In Krakow offices, especially those on the ground floors of townhouses, natural light can be scarce. Additional floor lamps at desks cost 150 PLN apiece. For 42 employees, that gives 6300 PLN. You can of course look for cheaper replacements, but remember that the office is your calling card. Clients who enter Mondiairelay-suivi see order and quality, not the cheapest furniture from a market that wobbles when typing on a keyboard.
IT infrastructure and cables, or nerves on edge
This is where budgets most often break. Moving the server room and configuring the Wi-Fi network for 42 devices (plus phones and printers) is a task for two IT specialists for at least 12 hours of work. The cost of an external IT company in Krakow is on average 150 PLN net per man-hour. Together, 3600 PLN just to 'make it work'. If you need to pull network cables to desks in the new office because the previous tenant had a different layout, add 45 PLN for each access point. For 42 stations, that's another 1890 PLN.
In an old townhouse, you might run into a problem with the fiber optic connection. Often you have to wait for a technician for 14 days, and every day without internet for 42 people is a pure loss of your money. We always advise clients to check providers 3 weeks before moving. If you have to buy mesh routers for the signal to break through meter-thick brick walls, you will spend an additional 2400 PLN. These are not redundant expenses; it is a necessity so that people can simply send emails.
It also happens that the electrical installation cannot hold. 42 computers, 42 monitors, 3 kettles, and 2 microwaves can blow fuses at the most inappropriate moment. Modernizing the fuse board and pulling an additional phase costs about 2800 PLN, including materials and electrician certifications. Don't risk a fire or data loss. Better to spend those nearly three thousand now than pay for data recovery from fried hard drives.
Internet in the office is like oxygen. You only notice it when it's missing, and then it's too late for savings.

Hidden costs and work downtime
The largest cost of a move does not appear on any invoice. It is lost revenue. For a team of 42 people, one day of total downtime means 336 man-hours thrown in the trash. If the average margin generated by your employee is 110 PLN per hour, one day off costs your company 36,960 PLN. That's why we always plan moves for the weekend, from Friday at 4:00 PM to Sunday evening. This increases the cost of the transport crew by 30% but saves your financial result.
On top of that are trifles that add up to significant sums. New stamps with the address, business card updates, changing data in the National Court Register (the court fee is 350 PLN), informing 83 contractors about the office change. This all takes up your administration's time. We count every meter, but we also count every minute. Final cleaning of the old office (to get the deposit back) and preliminary cleaning of the new one is an expense of around 1200 PLN for a professional crew with floor polishing machines.
To be honest, most companies underestimate the budget by about 15-20%. Something sudden always pops up: either you have to buy curtains because the sun reflects in the monitors, or the front door lock needs to be changed to a code one for security. For such 'surprises' for 42 people, it's worth putting aside a safe 5000 PLN in the budget. P.S. Don't forget about pizza for the team on the first day in the new place – 12 large pies in Krakow is about 650 PLN, and morale jumps by 47% immediately.
Move budget summary
Let's total it all up for a team of 42 people in Krakow: transport (6500 PLN), furniture additions (26,640 PLN), IT infrastructure and electricity (10,690 PLN), cleaning and administration (2200 PLN), and a reserve for surprises (5000 PLN). Total gives an amount of 51,030 PLN net. This is the real price for peace of mind and an efficient business transfer to a new location. You can do it cheaper by cutting furniture or IT expenses, but it usually comes back to haunt you within the first three months of work in the new place.
At Mondiairelay-suivi, we believe that an office must earn money. If you spend those 50 thousand wisely, your team will feel new energy and quickly recoup those costs through increased efficiency. If, however, you save on every cable and chair, the move will become a trauma that employees will remember for years. Last year we helped with 47 such operations and we know one thing: planning a budget with a pencil in hand is the only path to success. Don't be fooled by 'cheap' offers that do not include half of the above points.
Want to know if your selected office in a townhouse will generate extra costs? Ask us for a premises audit before signing the contract. We will check the installations, measure the stairwell, and calculate if those 42 people will actually have work comfort there. Better to spend a few hundred zlotys on a consultation now than 50 thousand on a move to a place that doesn't work. Contact us today, and we will prepare a preliminary cost summary for your specific location.
A good move is one that you forget about after a week because everything just works.
